⚙️ Importing Inventory
You can import inventory into your account using one of the following methods:
1. Inventory Sync
Connect your DMS or inventory system to easily add listings and keep your inventory up-to-date.
2. CSV File Upload
Bulk upload multiple units using a CSV file.
Enforces a 7 Day expiration on listings
Automations disabled
3. Manual Listing
Add a single listing directly from your dashboard. Great for quick entries or one-off wholesale listings.

ℹ️ Inventory files may require processing when first imported into Wholesale Whale. The processing status can be seen in the dealership location's settings, under Dealership Inventory. Processing times may vary, but usually completed in less than 24 hours from when the files are received.
🔑 Table Labels
Your inventory view displays a lot of helpful information to help you easily navigate your wholesale listings. Here is a term key for each column:
Unit: Displays the core details of the wholesale listing.
Listing Status: Shows the current availability or stage of the unit, such as active, pending, sold, or expired.
Book Value: Displays the estimated wholesale value of the unit based on industry guide data, helping both parties gauge fair market range. Book values are checked for accuracy and requred to be updated.
Actions: Shows the number of open offers on the listing and alerts you when new offers are received.
🏷️ Listing a Unit for Wholesale
From any inventory source, click List Unit and complete the following sections:
1. Condition Report
Wholesale Whale uses a trust-based condition report system to help buyers submit accurate, informed offers. The report doesn’t lock in final terms — it provides a strong starting point for negotiation.
Some fields you'll be asked to complete:
Overall Condition (1–10): A summary score for the unit’s overall state.
1 = Salvage, major damage or non-functional
10 = Frontline-ready, like new
Body & Paint (1–10): Evaluate the exterior finish — dents, scratches, fading, etc.
Interior Condition (1–10): Covers living space: furniture, flooring, cabinets, appliances, etc.
Tires (1–10): Evaluate tread depth, wear, cracking, or age.
Rental History (Yes/No): Has the unit ever been part of a rental fleet?
Original Furniture (Yes/No): Has any original furniture been replaced due to damage, smoking, or customization?
Odometer: Enter the current mileage.
Generator Hours: Enter total runtime hours (if equipped with a generator).
Notes & Disclosures (Optional): Freeform field to list anything not covered above — e.g., minor roof repair, soft floor spots, cosmetic damage, etc.
ℹ️ Dealers must certify that the condition report is accurate. This helps buyers submit informed offers.
2. Wholesale Details
Book Price: Enter manually using industry trusted sources
Offer Window: Choose what % below book value you’re open to
Pickup Location: Physical address of the unit
Delivery Preference: Buyer arranges, seller arranges, or no preference
4. Images
Pulled automatically from sync or file
Option to upload, hide, or rearrange
Once complete, click List Unit.

How long do listings stay active?
Synced Units: Remain active until removed from your DMS
Manual/File Uploads: Expire after 7 days unless relisted
Can I list without a condition report?
No. A condition report is required for every unit.
Can I bulk upload multiple units?
Yes — via CSV upload or DMS sync.
Can I schedule listings?
Yes, only if you have an active inventory sync. Using automation, you can schedule a unit to list after it reaches a certain age in inventory.
